Airtable
Airtable is a cloud-based, spreadsheet–database hybrid that teams often use to build custom project and work management solutions. Work is organized into workspaces, bases, tables, and records, with highly configurable fields (such as single and multiple select, attachments, lookups, and rollups) that let teams model tasks, issues, requests, or assets in a structured way. Instead of a fixed project model, Airtable provides building blocks so teams can design their own task, project, or portfolio schemas.
For project management, Airtable supports multiple views on the same underlying data, including grid (table), list, kanban boards, calendar, timeline, and Gantt views. Teams can use boards for workflow-style task management, calendars for date-driven work, and timeline or Gantt views to visualize schedules, milestones, task dependencies, and critical paths. Subtasks can be implemented either as checklists inside tasks or as linked records in a separate subtasks table, giving teams a choice between simple and more granular tracking.
Automation is handled through a built-in no-code automation engine. Triggers such as record changes, form submissions, or time-based rules can fire actions like updating fields, sending notifications, creating records, or calling webhooks. Interfaces and dashboards built on top of bases allow teams to create targeted views and lightweight reporting surfaces for project stakeholders, with charts and summary blocks that roll up status, counts, and other KPIs. While Airtable doesn’t offer dedicated resource management or native time tracking, timeline and Gantt grouping, along with formulas and interfaces, can approximate light capacity views where needed.
Airtable AI and Omni, its embedded AI assistant, add AI-native capabilities on Team, Business, and Enterprise plans. AI fields and agents can summarize comments and records, extract insights from datasets, categorize or tag work, generate and rewrite text, and help build formulas and field configurations. AI can also be used in automations and interfaces to generate content, summarize project updates, or route work, and Omni can create bases, interfaces, and even automations from natural-language prompts. These capabilities turn bases into more intelligent apps for project tracking and operations.
Airtable offers a permanent Free plan plus Team, Business, and Enterprise Scale tiers. The Free plan is aimed at individuals and very small teams with limits on records, storage, and automations. Team and Business plans raise those limits and unlock features such as advanced calendar, timeline and Gantt views, interfaces, extensions, richer sync options, and expanded AI credits. Airtable is available on the web as well as via native iOS and Android apps, and exposes a public REST API and metadata API, along with a marketplace of extensions and integrations to tools like Slack, Google Workspace, Microsoft Teams, and various development and analytics platforms.
